ADMINS AND MODERATORS CAN DEFINE THE WORKFLOW FOR FUNNEL MANAGEMENT IN CASEBASE. THE WORKFLOW CONSISTS OF THREE LEVELS AND PROVIDES A STRUCTURED WAY TO EVALUATE AND MANAGE USE CASES.

🏗️ Funnel Structure
🎯 Level 1 – Maturity Levels

Customizable: name, icon, color, short description

Represent the overarching stages in the funnel (e.g., Ideation, Evaluation, Implementation)
🚦 Level 2 – Quality Gates

Directly assigned to a Maturity Level

A Maturity Level can contain several Quality Gates (e.g., New Submitted, In Progress, Done)

Naming is flexible
✅ Level 3 – Quality Gate Checklists

Checklists with individual to-dos for each Quality Gate

Support a structured review of use cases within the respective funnel stage
⚙️ Management & Inheritance

The setup can be centrally defined in the Account Settings.

This definition is automatically inherited by all workspaces.

On workspace level, deletion is not possible, but additions and extensions can be made.

Alternatively, a workspace can configure its funnel setup entirely individually if no global structure is predefined.
👥 Roles & Permissions

Admins: can create and edit Maturity Levels, Quality Gates, and Checklists in both global account settings and workspace settings.

Moderators: can only create or edit funnel elements within workspace settings.
🚀 Creating a Funnel
Add Maturity Levels
Navigation: Account Settings or Workspace Settings → Workflow → Maturity Level

Define name, icon, color, and description

Adjust order via drag & drop
Add Quality Gates
Navigation: Account Settings or Workspace Settings → Workflow → Quality Gate

Select the associated Maturity Level

Define names freely

Adjust order via drag & drop
Add Checklists for Quality Gates

Open the hamburger menu of the Quality Gate

Add to-dos for each gate

Mark items as “Required” if necessary
🗑️ Deleting Funnel Elements
Cascading deletion:

A Maturity Level or Quality Gate can only be deleted if no use case is linked to it.

To delete a Maturity Level or Quality Gate, the use case must first be reassigned to another Funnel Stage that will remain.

This ensures that no use case is ever stored without a valid assignment.
Renaming:

If a Quality Gate is renamed, the label is automatically updated in all related use cases.
Editing instead of deleting:
-
Labels of existing funnel elements (Maturity Levels / Quality Gates) can be edited at any time.
🌍 Multilingualism
-
Names and descriptions of Maturity Levels, Quality Gates, and Checklists must be maintained in the language of the respective Account or Workspace.

Responsibility for linguistic consistency lies with the respective account or workspace.
